Student Item Retrieval/Grade 8 Leaving Ceremony

Student Item Retrieval/Grade 8 Leaving Ceremony
Dear Glen Cairn Families:

We hope that this message finds you and your family well.

We have finalized our plan for retrieving student items from the school. Item retrieval will occur on Tuesday, June 23rd, 2020

To limit the number of people in the school we are encouraging families that are returning to GCPS in September to leave their items at school. Staff will bag, label and safely store those items until schools re-open to students for the 2020-2021 school year.

For those who chose to come to the school, we are only permitting one person for each student to enter the building. Students in Grades 7 and 8 are able to come in on their own to gather their belongings. If a parent is coming in, please make sure you have your child’s locker combination with you. If you do not have it, we will be able to cut the locks off for you.

The school district has been working with Ottawa Public Health (OPH)  to develop a plan to do this safely. The plan requires visitors to complete a self-screening assessment prior to entering the school.  It also includes safety measures such as physical distancing, hand washing, use of face masks or coverings, and time limits on access to the school, traffic flow inside the school and restrictions on the number of points of contact in the school.  These actions will help to reduce the risks of exposure to COVID-19 and limit the spread of the virus.

Here is an overview of the pick-up plan:

●     Complete the Form - please complete the Student Access Form. Be sure to submit the form. You will receive an automatic copy of your response.

●     Covid -19 Self-Assessment - on the day of the appointment, prior to attending the school, the person entering the school must complete a  Covid-19 Self-Assessment

●     Arrive for Appointment - please arrive at the school 10 minutes prior to your scheduled time and follow the directions for the recovery of personal belongings.

  • Upon arrival:

    • Please line up until a staff member directs you to come into the building. The entry point for student belongings will be Room 16. Please follow the signs.

    • You will need to sanitize your hands (we strongly recommend parents/students bring gloves and a mask to wear while in the building)

    • A staff member will check off your name.

    • You may access your locker, the music room if you have an instrument to retrieve, and FOR GRADE 8's ONLY - the Art room to collect your portfolio.

    • Please leave all garbage in your locker and they will be cleaned out by school staff during the summer clean.

●     Returning School Property - On your way out of the school there will be 3 labelled bins to return textbooks and any other school property, library books, and instruments/mouthpieces.

Some things you can do to prepare for your appointment:

●     Discuss belongings with your child - please speak with your child about what belongings they have at school. Consider things like locker contents, indoor shoes, winter boots, coats, books, athletic equipment, musical instruments, art materials, etc...

●     Identify school materials to be returned - please have your child identify any school property currently at home that should be returned such as library books, text books, athletic equipment, etc. Please note that at this time, students do NOT need to return loaned Chromebooks or Wifi Hotspots.  Those items will be returned at a later date.

We have finalized our plan for Grade 8 students.

On Tuesday, June 23rd, 2020, after retrieving their personal items, Grade 8 students will be allowed to enter the gymnasium via the exterior door. They will be able to gather their Class of 2020 shirt, their GCPS Grade 8 Certificate, and any award they may have received.

There will be an area set up by our school sign where students may wish to have a quick photo taken by a family member.

Our Virtual Ceremony Video will be uploaded to a secure site Wednesday, June 24th, 2020  A link will be sent to all Grade 8 Students. The video will remain posted for several weeks. You will not be able to record or download the video.

If you have not yet submitted your child's permission to be featured in the video please do so by Wednesday, June 10th, 2020. You will find an online version of the PERMISSION FORM HERE..

Should you have any further questions or require an accommodation, you can contact the school at .

Thank you for your cooperation and support through these challenging times.
